This guide is the page I wish existed then: the real published numbers, the four mechanisms that inflate them, and the worksheet that surfaces your true cost.
Every figure below is the vendor's own published or advertised number as of August 2026, framed exactly as they frame it. Vendors change pricing without notice, so treat this as a map of the pricing models rather than a quote, and get your own numbers in writing.

A $79 per practitioner plan is $79 for a solo doc and $395 for a five provider clinic before add ons. Per provider pricing punishes exactly the growth you are working toward. When you compare a per provider price to a flat price, compare them at the roster you plan to have in three years, not the roster you have today.
Texting, digital intake, online booking, insurance billing, eligibility, and the scribe each sold separately turns a $159 advertised plan into a very different invoice. The tell is a pricing page that lists modules without a total. Add every module you will actually use before comparing anything.
Per text message, per eligibility check, per scribe minute. Meters are small numbers that multiply by busy: a front desk sending 3,000 texts a month at three cents each is $90 nobody advertised, and a full time provider using an ambient scribe at $0.20 per minute can add hundreds monthly. Estimate your real volumes and price the meters at them.
Some headline rates assume you sign for a year; the month to month rate runs 5 to 8 percent higher and appears in smaller type, if at all. Neither rate is wrong, but comparing one vendor's annual rate against another's monthly rate is how bad decisions get made. Compare like for like, and price the exit: what does leaving in month seven cost?
For every vendor you evaluate, fill in one column per vendor and refuse to compare anything until every row has a number in writing:
